Other information about your job like position, address, phone number, those are not considered personal information.

At IBMA Accounting Limited we make sure to collect and retain our clients’ personal information, or their family, which are necessary to only be used in their files, applications, for example information that relates to:

  1. ID such as: date and place of birth, residency, gender, SIN.
  2. Contact: such as name, address, telephone number, email address and other contact.
  3. Credit and financial information, payments.
  4. Medical; employment history; education; memberships.

IBMA Accounting Limited collects and uses essential personal information that allows us to conduct our business, including but not limited to the following purposes:

  2. To support our employment/subcontractor process.
  3. To collect and process payments.

  5. As required by law or regulatory requirements such as the Income Tax Act.

Consent

IBMA Accounting Limited does not collect personal information without consent from the client. When we request your personal information, we identify the purpose of the collection so that you are fully informed of why IBMA Accounting Limited needs the information and how it will be used. If we need your information for a new purpose, we will have your consent again.

In addition, IBMA Accounting Limited does not collect personal information of children under 18 years of age without parental or guardian consent.
When you provide IBMA Accounting Limited with consent, you agree to IBMA Accounting Limited collecting, using, and disclosing your personal information as described in this Privacy Policy. You may change or withdraw your consent at any time.

IBMA Accounting Limited does not share your personal information without consent, unless required by law, and only to the extent that is necessary. IBMA Accounting Limited may engage third parties to support the delivery of our services and share personal information with them; however, they are required to provide a comparable level of privacy protection as IBMA Accounting Limited does in our own privacy policies and practices.

IBMA Accounting Limited does not engage nor share your information with third parties to allow them to market their own products or services.

How your information is secured

IBMA Accounting Limited protects your personal information in the following ways:

  2. Camera on entry/exit location in our office to prevent against theft/unauthorized physical access.
  3. Restricted file access to personal information.
  4. Internal security policies and guide.
  5. Secure destruction of your information when it is no longer needed or required by law.

Where your information is stored and for how long they are kept

Your personal information is stored on servers in Canada through service providers who do not have authorization to access your information. They are bound by the terms of the IBMA Accounting Limited privacy policies in the protection of personal information.

IBMA Accounting Limited keep your information for as long as required to fulfil the purpose for which it was collected, and as required by law. Personal information that is no longer required will be destroyed by proper secure destruction methods such as secure paper shredding or permanent deletion of electronic files.

Clients have the choice to either send their required documents, to proceed in the service that requested, by uploading the documents to IBMA Accounting Limited website where our staff can use them, or by ensuring proper delivering of the documents to our office location safely under their responsibilities.

 Updating and accessing personal information at IBMA Accounting Limited

IBMA Accounting Limited makes every effort to ensure that your personal information is accurate, complete, and updated. IBMA Accounting Limited expects that individuals who provide us with their personal information ensure that they also provide us with the updates, as necessary.

Only our clients or their legal representatives who can have the right to reasonable access of the personal information that IBMA Accounting Limited keep. Client has an opportunity to correct/update his/her personal information by submitting a written request to our primary email (see below). We will respond to your request within 7 days.

IBMA Accounting Limited may not be able to complete your request where disclosure is unauthorized by law, or where it would result in the disclosure of personal information of others.
